Accessing the Production Stage
The Production stage is where you receive copyedited manuscripts and convert them into publication-ready galley files. This page explains how to find your assigned submissions and understand the Production stage interface.
Logging Inโ
- Navigate to your journal's OJS URL (e.g.
https://yourjournal.org/index.php/journal) - Click Login in the top-right corner
- Enter your username and password
- Click Login
Use the Forgot your password? link on the login page. A reset link will be sent to your registered email address.
Finding Assigned Submissionsโ
Once logged in, OJS takes you to your Dashboard.
- Go to Dashboard โ My Queue
- Look for submissions listed under the Production heading
- Each entry shows the article title, the journal section, and the date you were assigned
You will only see submissions that the editor has explicitly assigned to you. If you expect a submission but do not see it, contact the editor โ they may need to assign you in the Participants panel.
Dashboard Columnsโ
| Column | Meaning |
|---|---|
| Title | Article title (click to open the submission) |
| Section | Journal section (e.g. Articles, Reviews) |
| Assigned | Date you were added as a participant |
| Stage | Current workflow stage (should read Production) |
Opening a Submissionโ
Click the article title in My Queue. This opens the submission's workflow page directly on the Production tab.
Alternatively:
- Go to Submissions โ All Active Submissions
- Filter by Stage: Production
- Click on the submission title
Overview of the Production Stage Panelโ
The Production tab is divided into several sections:
Production Ready Filesโ
These are the final copyedited files provided by the copyeditor or editor. They serve as your source material for creating galleys.
| File type | Description |
|---|---|
| Copyedited manuscript | Word, RTF, or other editable document |
| Figures / images | High-resolution images referenced in the manuscript |
| Supplementary files | Data, appendices, or additional materials |
Click the file name to download it to your computer before beginning typesetting.
Galleysโ
The Galleys section is where you upload publication-ready files (PDF, HTML, XML, ePUB) after typesetting. It is initially empty. See Uploading Galleys for step-by-step instructions.
Production Discussionsโ
The Production Discussions panel is a threaded messaging tool used to communicate with editors, proofreaders, and other participants without leaving OJS.
Use it to:
- Ask the editor for clarification on the manuscript
- Notify a proofreader that galleys are ready for review
- Record decisions and corrections for the audit trail
Participantsโ
The Participants panel lists everyone assigned to this submission at the Production stage, along with their roles. You can use the Notify link next to a participant's name to send them an email directly.
You cannot add or remove participants yourself. Only the editor or journal manager can manage the participant list.
