Tutorial: Respond to Revision Requests
Role: Author
Time: 10โ20 minutes (plus manuscript revision time)
OJS Version: 3.5+
When reviewers or editors request changes to your submission, OJS will notify you by email. This tutorial explains how to view the review comments and upload your revised manuscript.
Before You Startโ
- You have received an email from the journal asking for revisions.
- You have made the requested changes to your manuscript.
- Your revised file is saved and ready to upload.
Step 1 โ Log In and Find Your Submissionโ
- Navigate to the journal website and click Login.
- From your Dashboard, click the title of the submission that requires revision.
- You will land on the Submission Summary page.
Step 2 โ Read the Review Commentsโ
- On the submission summary page, scroll down to the Review section.
- Click on the active review round (e.g., Round 1).
- Under Reviews, expand each reviewer entry to read their comments.
- Comments to Author โ feedback you can see
- Comments to Editor โ not visible to the author
- If the editor has uploaded a marked-up version of your manuscript, you will see it listed under Editor's Decision or as an attached file โ download and read it carefully.
In a double-blind review, reviewer names are hidden. The comments are still visible under each reviewer entry.
Step 3 โ Upload Your Revised Manuscriptโ
- Still on the Review tab, scroll to the Revisions section.
- Click Upload a File.
- In the upload dialog:
- Article Component: select Article Text (or whichever component matches your file).
- Click Upload File and select your revised manuscript.
- After the upload completes, click Continue.
- (Optional) On the Review Details screen, you can edit the file name or confirm the file type โ then click Continue.
- Click Complete to close the dialog.
If your revision includes supplementary materials (revised figures, response letter, etc.), click Upload a File again for each additional file and set the correct Article Component.
Step 4 โ Write Your Response to the Editor (Optional but Recommended)โ
Most journals expect a cover letter or response-to-reviewers document alongside your revision. You can:
Option A โ Upload it as a separate file Repeat the upload steps above, setting Article Component to Cover Letter or Response to Reviewers.
Option B โ Add a note in the Discussion panel
- Scroll to the Discussions section on the Review tab.
- Click Add Discussion.
- In the dialog, type your response summary in the Message field.
- Click OK.
The editor and any named participants will receive an email notification.
Step 5 โ Notify the Editorโ
After uploading your files, it is good practice to send the editor a message:
- In the Discussions panel, click Add Discussion.
- Address it to the editor (their name should already appear as a participant).
- Write a brief message, e.g.:
"Dear Editor, please find attached our revised manuscript and a point-by-point response to the reviewers. We believe all concerns have been addressed. Thank you." - Click OK.
After Uploadingโ
- The editor receives a notification that you have submitted a revision.
- The submission moves back into the editor's queue for re-review or a final decision.
- You will receive another email when a new decision is made.
Troubleshootingโ
| Problem | Solution |
|---|---|
| Cannot see the Revisions section | Check you are on the Review tab, not the Submission tab |
| Upload button is missing | The editor may not have opened the revision round yet โ contact the editorial office |
| Wrong file uploaded | After uploading, click the file name to replace it before notifying the editor |
| No response from editor after upload | Send a discussion message to confirm the editor has received your revision |
