Accessing Assigned Submissions

As a Guest Editor you only see the submissions that have been explicitly assigned to you. This guide walks through logging in, finding those submissions, and understanding what you see once a submission is open.

Logging Inโ€‹

  1. Navigate to your journal's OJS login page (typically https://yourjournal.example.com/login).
  2. Enter your username and password.
  3. Click Login.

Use the Forgot your password? link on the login page. A reset link will be sent to your registered email address.

After logging in you are taken to your personal dashboard. Your assigned submissions live in My Queue.

Navigation stepWhere to click
Open the user areaClick your username in the top-right corner
Go to your dashboardSelect Dashboard from the drop-down menu
View only your workClick the My Queue tab

All submissions currently assigned to you appear as cards in this list. Submissions not assigned to you will not be visible.

What an Assigned Submission Entry Looks Likeโ€‹

Each card in My Queue shows a summary row:

FieldMeaning
TitleThe manuscript title (click to open the submission)
AuthorsLast name(s) of the submitting author(s)
SectionJournal section (e.g., Articles, Reviews)
StageCurrent workflow stage โ€” Submission, Review, Copyediting, or Production
ActivityDate of the most recent activity
FlagsIcons indicating awaiting review, discussion messages, or overdue deadlines
note

If you hold more than one role in the journal (for example, Guest Editor and Reviewer), use the role switcher at the top of the dashboard to ensure you are viewing the Guest Editor queue.

Opening a Submissionโ€‹

  1. From My Queue, locate the submission you want to work on.
  2. Click the submission title or the View button on the right side of the row.
  3. OJS loads the Submission Workflow page for that manuscript.

Submission Overview Panelsโ€‹

Once inside a submission you will see several panels arranged on the page:

PanelDescription
Workflow stages (top bar)Tabs for each stage: Submission, Review, Copyediting, Production. Active stage is highlighted.
Submission summaryTitle, authors, section, and submission date
ParticipantsList of editors, reviewers, and other roles currently assigned to this submission
FilesManuscripts and supplementary files uploaded by the author or added by editors
Activity LogChronological record of all actions taken on the submission

info

As a Guest Editor you may see fewer panels or options than a Section Editor. For example, the Production tab may be read-only or hidden depending on your journal's configuration.

Moving Between Stagesโ€‹

Click the stage tabs in the top workflow bar to move to a different stage:

  1. Submission โ€” initial files, metadata, and pre-review checks
  2. Review โ€” peer review rounds, reviewer assignments, and review files
  3. Copyediting โ€” edited manuscript files and copyediting discussions
  4. Production โ€” galleys, proofing, and publication scheduling

Guest Editors are most commonly active in the Review stage.
